Where are the basics?
Invoicing and NAV Online Számla: what to know when you invoice from a CRM
If you invoice from a CRM, since 1 January 2021 the data of your invoices must, as a rule, be reported to NAV's Online Számla system, and the invoicing software does that reporting. So the CRM should not report by itself: it issues the invoice through invoicing software that reports to NAV. HelloCRM uses your own Számlázz.hu or Billingo account for this.
Payment reminder template: three letters for an overdue invoice
Three letters, each firmer than the last, are usually enough for an overdue invoice: a friendly reminder a few days after the due date, a second one a week or two later, and a final notice with a deadline. Each states the invoice number, the due date, the amount still open and how to pay. All three templates are below, ready to adapt.
Proforma or advance invoice? The difference, and when you need each
A proforma is a request for payment, not an invoice, so it does not go to NAV; an advance invoice is an invoice, issued once the advance has arrived. If an advance arrives on a proforma, the Hungarian VAT Act requires VAT and an invoice for the advance too. The usual order: proforma, transfer, advance invoice, delivery, final invoice.
Quote template: what goes into a quote, and how to send it
A good quote states ten things plainly: who is offering, to whom, what, for how much (net, VAT, gross), on what terms, by when, how long it is valid, what is not included, whom to contact, and how to accept it. This article goes through the parts, gives a template you can adapt, and shows how an accepted quote becomes an invoice without retyping.
From quote to invoice: what a small company's sales process looks like
A small company's sales usually take six steps: enquiry, contact, a deal in the pipeline, a quote, acceptance, then invoice and payment. It runs smoothly when every step builds on the same customer and the same lines, so the quote and the invoice show the same total and nothing has to be retyped.
Invoicing basics for Hungarian small businesses, with official sources
Hungarian invoicing rests on four basics: VAT, the small-business exemption, NAV Online Számla, and the difference between the documents (proforma, advance invoice, storno). This article explains each, names the official source for every rule, and is not tax advice: check your case with your accountant.
