Appointment booking systems for Hungarian small businesses

In short

A Hungarian small business should choose a booking system by whether the booking page is in Hungarian, whether it sends reminders, whether it handles staff and room schedules, and whether it refuses two bookings for the same hour. This guide goes through the criteria, then compares five systems from the vendors' own pages.

What should you look for in a booking system?

A booking system works for two audiences: the customer who books from a phone at ten at night, and the team who need to know in the morning who is coming. Before you try any of them, write down how many people and rooms work in parallel, how much time you need between two customers, and what happens when someone does not turn up. The list below builds on those answers.

  • A Hungarian booking page and Hungarian mail: the confirmation and the reminder should go out in the customer's language.
  • Services with their own length and buffer: the treatment is 45 minutes, but 15 more are needed to tidy up.
  • Opening hours, breaks and closures: with Hungarian public holidays and the odd day off.
  • Several staff, each with their own hours, and a room or a piece of equipment when that is the bottleneck.
  • No double bookings: two customers must not get the same hour, even when they book at the same moment.
  • Reminders by email or text, because they cut no-shows.
  • A deposit or payment at booking, when a missed slot costs money.
  • Calendar sync, so each colleague sees their day in their own phone calendar.

A double booking is not a theoretical case. When two customers open the same free slot in the same minute, a simple system confirms both, and the mistake comes to light at the front desk. Ask the vendor, or try it from two browsers at once, to see what happens then.

A no-show is the most expensive empty hour. A reminder, easy cancellation and a deposit cut it together; a separate answer covers when each one pays off.

Which booking systems can you choose from?

Details

The five systems below were described from the vendors' own pages on 17 October 2026, only with what we read there. It is not a ranking: first the ones with a Hungarian-language site, then the international ones, and HelloCRM last, because it is our product.

Salonic. A Hungarian booking system for beauty salons: guests book online at any hour. Its partner site says it sends reminders by email or text, hours and services can be set per staff member, an online deposit or the full amount can be taken at booking, and the calendar syncs with Google Calendar in both directions. Instead of a free plan it offers a trial with no commitment.

Bookio. A booking system with a Hungarian-language site that handles bookings, customer management and administration. Customers book online at any hour, confirmations and reminders go by email or text, calendars, holidays and breaks can be managed, and there is room management and online deposits. The Google Calendar connection is on the paid plans, and there is a limited Freemium plan that is free forever.

Koalendar. An international scheduling tool on which anyone can book time with you directly. Its help says the booking page and its automated mail can be set to Hungarian, while its own site is in English. It connects to Google, Outlook and iCloud calendars and has a free plan with no time limit and no card; reminders, team members and taking payments are on the paid plans.

Calendly. An international scheduling platform whose always-free plan includes one event type. Emails and texts before and after a meeting are automated by workflows from the paid plans, team and round-robin scheduling are on the team plans, and Stripe or PayPal payments can be connected. Its help lists seven languages for the booking page, and Hungarian is not among them.

HelloCRM. A web CRM in Hungarian and English whose Bookings module works with services, opening hours, staff and rooms, and turns each booking into a contact and a calendar entry. The details are below.

What does HelloCRM's Bookings module do?

Details
  • A service with its own length, buffer and price, with free slots worked out from the opening hours; closures and Hungarian public holidays count too.
  • Two customers cannot get the same hour: the database says so, not a check beforehand, so not even when they book at the same moment.
  • Staff and rooms: a treatment can go into any free room, and a room cannot be booked twice.
  • A reminder by email a day ahead, by text too when the company has set up text messages; a waiting list when a slot frees up, and courses of several sessions.
  • Payment or a deposit by card at booking, through the company's payment provider; a booking creates a contact and a calendar entry, and the calendar syncs with Google and Outlook.
  • With invoicing switched on, a completed visit becomes a draft invoice at the service's price.

Where it stands: the free core CRM already works in the browser, at app.helloteam.hu. Bookings is a paid add-on module, bought on its own; prices are not published yet, the paid modules are coming soon, and people who pre-register hear first. The set-up can be tried in the demo company without signing up.

How do you decide in two weeks?

Details
  1. Pick two systems from the table on the criteria that decide for you.
  2. Enter your three most common services with their real length and buffer.
  3. Book yourself from a phone and look at the confirmation and the reminder.
  4. Try booking the same hour from two browsers at once.
  5. Cancel a booking and see whether the slot frees up and whether anyone is told.

In short

Good booking software for a Hungarian small business has a Hungarian booking page, sends reminders, handles staff and room schedules, and refuses two bookings for the same hour. According to the vendors' pages Salonic, Bookio, Koalendar, Calendly and HelloCRM differ on these, and free plans mostly lack reminders and team features. Try two for two weeks with your real services, and book from two browsers at once.

Questions

Is there a free booking system?

According to the vendors' pages (2026-10-17) Bookio, Koalendar and Calendly have a free plan with no time limit, with limited features; reminders and team features are mostly on the paid plans. HelloCRM's core CRM is free; Bookings is a paid add-on.

Which systems have a Hungarian booking page?

According to the pages we read (2026-10-17) Salonic, Bookio, Koalendar (as a language setting) and HelloCRM; Calendly's help lists seven languages, not Hungarian.

What cuts no-shows?

A reminder a day before the appointment, easy cancellation so someone else can take the slot, and a deposit where a missed hour costs a lot.

Do I need a CRM beside a booking system?

If a booking is followed by a quote, an invoice, a newsletter or a returning customer, yes: then it matters that the person booking is the same contact you work with otherwise. If you only hand out appointments, a booking tool on its own is enough.
