Inventory software for small online shops and stores

In short

A small web shop or store should choose inventory software by whether it logs every movement, supports stocktakes and goods receipt, and sells the web shop and the counter from the same stock. This guide goes through the criteria, then compares five programs from the vendors' own pages.

What should you look for in inventory software?

In a small shop stock goes wrong where the same goods sell in two places: online and at the counter, or in two web shops at once. Two people buy the last unit, and one of them has to be refunded. Before you try any program, write down how many products you have, in how many variants (size, colour), where you sell them, and who orders from suppliers.

  • A movement history: every movement in and out is a line, with a reason and a date, not just a number someone overwrites.
  • Stocktake: the counted units go in with the difference, so you can see how much went missing.
  • Goods receipt and purchase orders: what arrives goes into stock, and you see what you last paid for it.
  • Variants: a T-shirt's medium with its own stock and SKU.
  • One stock for several channels: the web shop, the counter and a marketplace sell from the same count.
  • Barcodes at the counter and in a stocktake.
  • A cancelled order: the units come back into stock once, by themselves.
  • Invoices reported to NAV, so a sale easily becomes an invoice.

With a web shop connection, ask exactly what moves. Many programs make invoices from a shop's orders but do not write the stock back, or the other way round. If two systems both keep stock, one of them always has to decide, and that decision has to show in the settings.

Which inventory programs can a small shop choose from?

Details

The five programs below were described from the vendors' own pages on 17 October 2026, only with what we read there. It is not a ranking: first the Hungarian ones, then the international ones, and HelloCRM last, because it is our product.

Billingo Készletkezelő. A stock tool inside the Billingo invoicing service in which stock and warehouse movements can be followed, movements listed, products received in bulk, and documents, reports and stocktakes produced. NAV reporting is done by the invoicing service. The web shop integrations it lists (WooCommerce, Shoprenter and UNAS among them) are for invoicing orders; the pages we read do not say whether they sync stock too.

Kulcs-Soft (Kulcs Ügyvitel). Hungarian stock-keeping software with stock history, stock value, a list of warehouse movements, stocktakes, delivery notes, supplier orders that become goods-in documents and incoming invoices, and a batch barcode reader. Data links can automate stock movements and invoicing, but the page names no web shop platform. The vendor guarantees NAV reporting for its invoicing programs.

Zoho Inventory. An international online inventory and order tool with purchase orders and purchase receives, inventory adjustments, barcode scanning, and connections to Shopify, WooCommerce, Amazon, Etsy and eBay. Stock counting, according to its help, comes with a warehouse add-on. It has a forever-free plan. The pages we read say nothing about Hungarian or NAV.

Sortly. Inventory tracking designed for the phone, scanning barcodes or QR codes with a smartphone. Its reports track quantity changes and the team's edits, purchase orders can be created and exported, and stock counts are listed in its plan table. As integrations it names QuickBooks Online, Slack, Microsoft Teams, webhooks and an API, but no web shop. Its pricing page lists a Free plan.

HelloCRM. A web CRM in Hungarian and English whose Products module keeps stock and a stock ledger, whose Purchasing module receives goods, and whose till and own web shop sell from the same stock. The details are below.

What does HelloCRM's stock keeping do?

Details
  • The count decides whether a product may sell, and a ledger beside it explains it: every change is a line with a reason; a typed count is a stocktake that records the difference, never an overwrite.
  • The last unit goes to exactly one buyer, even when two buy at once; a cancelled order's units come back once.
  • Variants: size and colour with their own SKU, price and stock.
  • Purchasing: an order to the supplier, goods received into stock, and reorder suggestions for products below their minimum.
  • The till and your own web shop sell from the same stock, the till and a stocktake both read barcodes; issuing a delivery note takes from the named warehouse.
  • Honestly: orders from connected WooCommerce, Shopify, ShopRenter and UNAS shops arrive as contacts and deals, but do not move stock, because the shop keeps its own.

Where it stands: the free core CRM already works in the browser, at app.helloteam.hu. Products, Purchasing, the till and Webshops are paid add-on modules, each bought on its own; prices are not published yet, the paid modules are coming soon, and people who pre-register hear first. Stock can be tried in the demo company without signing up.

How do you decide in two weeks?

Details
  1. Pick two programs from the table on the criteria that decide for you.
  2. Enter twenty real products, one of them in sizes.
  3. Receive a supplier delivery, sell one unit online and one at the counter.
  4. Cancel one order and see whether the unit came back, once.
  5. Count one shelf, type it in and check that the difference shows in the ledger.

In short

Good inventory software for a small web shop or store logs every movement, supports stocktakes and goods receipt, and sells the web shop and the counter from the same stock. According to the vendors' pages Billingo, Kulcs-Soft, Zoho Inventory, Sortly and HelloCRM differ on these, and with a web shop connection you have to ask separately whether stock moves too or only the invoice is made. Try two programs for two weeks with real products, one goods receipt, two sales and one cancellation.

Questions

Is there free inventory software?

According to the vendors' pages (2026-10-17) Zoho Inventory has a forever-free plan, and Billingo and Sortly list a plan named Free without saying anything about a time limit. HelloCRM's core CRM is free; the Products module is a paid add-on.

How does inventory differ from warehouse management?

Inventory says how much of a product there is and why; warehouse management also says where it stands in the warehouse and in which order to pick it. A small shop mostly needs the first.

Is the web shop's own stock keeping enough?

If you sell in one web shop only, often yes. If you also sell at a counter, on a marketplace or in two shops, the stock has to be decided in one place, or you sell the same unit twice.

How does a sale become an invoice reported to NAV?

By passing the sale's lines to an invoicing service that reports to NAV's Online Számla system. At the counter the rules for receipts and invoices differ; check your own case with your accountant.
